PRACTICAL GUIDE / INVENTORY

A shortage signal is the start of a decision.

A practical guide for reviewing material risk, choosing the next action and keeping the decision visible until the outcome is confirmed.

Sample scenario · Timing risk and new-order quantity are separate decisions.

Read the dates before adding another order.

Start at the material and plant that need supply. Compare usable stock with demand and the next credible receipt. A receipt can exist in ERP and still arrive too late.

In the sample scenario, IP-1001 in Chicago needs 132 units earlier than the planned delivery. The first action is a supplier confirmation against existing supply. A new-order quantity of zero does not erase the timing risk.

Stock coverage ends before a receiptCan existing supply arrive earlier?Confirm an earlier partial receipt or assess an eligible alternative
Inventory is above a policy targetIs demand or another facility likely to need it?Validate demand, open orders and transfer feasibility
Supplier delivery is repeatedly lateDoes the planning assumption reflect the history?Review lead time and stock protection separately from urgent recovery

    Review

Check the calculation, source dates, material unit and operating constraint. Use an AI review if it helps explain alternatives.

  2. 02

    Decide

Accept, reject or modify the proposed action. Record the practical reason and assign responsibility.

  3. 03

    Verify

Track the work and confirm the receipt, stock move or other outcome. Acceptance alone does not mean the issue is resolved.

ANSWERS BEFORE YOU START

A few practical questions.

All frequently asked questions
Why can a critical material have a new-order quantity of zero?

An immediate timing shortage and a new-order proposal answer different questions. Existing supply may be sufficient in total but arrive too late. The right near-term action could be an earlier partial receipt or a feasible transfer, rather than adding another purchase order. Review the material-specific quantity and date in the action.

What happens if our data is incomplete or inconsistent?

The workflow identifies affected records and the specific checks needed. Missing values should not silently become zero. Before production, we reconcile totals with the source system, validate sample materials and agree who resolves issues. A record needing verification remains visible rather than becoming an unsupported recommendation.
